1. Purpose
This policy defines the procedures for clients who terminate or transition away from the iTech CRM platform.
It establishes the scope of data export, the responsibilities of each party, and the requirements for completing the off-boarding process.
2. Standard Data Export
Clients may request a standard data export when leaving the iTech CRM platform.
The standard export includes:
• Clients / Contacts records
• Leads records
Exports are delivered in CSV format.
This export provides structured access to core CRM records and is intended for reference or migration preparation.
3. Excluded Data
The following items are not included in the standard export:
• Attachments or uploaded files
• Photos or documents
• Notes or activity logs
• Appointments
• Forms or consent records
• Custom fields
• Plugin data
• Communication logs (SMS, email, calls)
• Automation workflows
• Third-party integrations
Full migration services are not included in standard data exports.
These components may exist outside the core CRM data structure or rely on external infrastructure.
4. Third-Party Infrastructure
Some components may be hosted in infrastructure controlled by the client or external providers, including but not limited to:
• AWS
• Cloudflare
• External file storage
• Third-party integrations
iTech CRM does not control or manage these services. Access must be obtained through the client’s own administrative credentials.
5. Data Release Agreement
Prior to any data export, the client must execute the iTech Data Release Agreement.
This agreement verifies:
• Authorization of the requesting party
• Scope of the requested export
• Format and delivery method
• Responsibility limitations for the exported data
Execution of this agreement is required to protect all parties involved and to ensure compliance with data security procedures.
6. Export Timeline
Once the Data Release Agreement has been properly executed, standard data exports are typically delivered within:
7–10 business days
Delivery timelines may vary depending on system configuration and request volume.
7. Platform Termination
If a client chooses not to proceed with the available transition options or does not complete the required export procedures within the specified timeframe, the system environment may remain inactive or be terminated in accordance with iTech CRM licensing policies.
iTech CRM cannot guarantee data availability once licensing has expired or environments have been permanently decommissioned.
8. Policy Acceptance
Use of the iTech CRM platform constitutes acknowledgment and acceptance of this Data Exit & Off-Boarding Policy.
Clients are encouraged to review this policy prior to initiating any transition or migration from the platform.
