iTech Email & Cloud Services Policy

This Email & Cloud Services Policy (“Policy”) applies to dedicated email server, business cloud, domain hosting, productivity, reseller, and related services provided by iTech CRM (“iTech,” “we,” “us,” or “our”).
By purchasing, activating, accessing, or using an iTech Email & Cloud service, the customer (“Customer,” “you,” or “your”) agrees to this Policy together with any applicable iTech Terms of Service, Privacy Policy, invoice, quotation, order form, or service agreement.
1. Service Overview
iTech provides a dedicated, managed business email and cloud infrastructure built using established open-source technologies and hosted on dedicated cloud infrastructure.
The service is designed to provide organizations with control over their business email accounts, domains, users, files, productivity applications, and related cloud services without requiring traditional per-user email licensing from iTech.
Depending on the selected package and server configuration, services may include:

Specific functionality may vary according to the selected package, infrastructure resources, software versions, and configuration.
2. Open-Source Infrastructure
iTech Email & Cloud Services use a combination of open-source technologies, iTech configurations, integrations, management systems, security configurations, and cloud infrastructure.
Open-source components allow us to provide customers with greater flexibility and reduce dependency on traditional per-user software licensing models.
The underlying email infrastructure, server architecture, security configuration, integrations, automation, deployment methods, and technical implementation used to provide the service are part of iTech's managed service environment.
iTech may update, replace, modify, or reconfigure individual open-source components when reasonably required for security, compatibility, performance, reliability, or continued operation of the service.
3. ONLYOFFICE Productivity Applications
Where included in the selected configuration, the iTech Business Cloud environment may provide productivity and document collaboration functionality through ONLYOFFICE open-source technologies.
Available functionality may include:

Spreadsheet creation and editing

XLS and XLSX-compatible spreadsheets

Presentation creation and editing

PPT and PPTX-compatible presentations

PDF viewing and related document functionality

Cloud-based file access
These tools provide functionality and file-format compatibility commonly required by businesses for documents, spreadsheets, presentations, and PDFs.
Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft 365, Google Docs, and Google Workspace licenses are not included with the iTech service unless expressly stated otherwise in writing.
Compatibility with common Microsoft Office file formats does not mean that Microsoft software is being provided or licensed by iTech.
ONLYOFFICE and other third-party or open-source technologies remain subject to their applicable licenses and terms.
4. Service Plans
Single Domain Plan — $6,000
Provides implementation and configuration of a dedicated professional email and business cloud environment for one domain.
Up to 5 Domains Plan — $7,500
Provides implementation and configuration of a dedicated professional email and business cloud environment supporting up to five (5) domains.
The domains may represent different businesses, websites, divisions, or brands controlled or authorized by the Customer.
Unlimited Domains & Reseller Plan — $12,000
Provides implementation and configuration of a dedicated professional email and cloud environment supporting unlimited domains and brands, subject to server resources, storage, infrastructure capacity, reasonable use, and this Policy.
Eligible Customers may also use this plan to provide professional business email and related cloud services to their own customers.
“Unlimited Domains” refers to the number of domains permitted under the applicable iTech service plan. It does not mean unlimited storage, bandwidth, CPU, memory, backups, email sending volume, or other infrastructure resources.
5. iTech Instance License
The dedicated environment requires one iTech Instance License, currently priced at:
$2,950 one-time
Unless expressly included in a quotation or invoice, the iTech Instance License is separate from the implementation package.
Additional instances or environments may require additional licensing.
6. Implementation
Standard implementation normally takes approximately:
7–14 business days
Implementation may include server deployment, email configuration, security configuration, domain configuration, productivity application deployment, testing, and system preparation.
The implementation period begins once iTech has received the required payment, information, access, approvals, and technical requirements from the Customer.
Implementation times are estimates and may be affected by DNS propagation, third-party providers, data migration, domain registrars, infrastructure providers, Customer response times, or circumstances outside iTech's reasonable control.
7. Payment Processing Fee
A 5% payment processing fee may apply where identified on the applicable invoice, quotation, order, or payment page.
Applicable taxes, third-party charges, infrastructure costs, additional storage, and additional services are separate unless specifically included in writing.
8. Dedicated Server Hosting
Dedicated server hosting starts at:
$100 per month
The initial hosting cost is based on the server configuration, storage, and resources allocated when the environment is deployed.
Monthly hosting costs may change depending on actual resource requirements.
9. Storage & Scalability
Storage requirements depend on how the Customer uses the system, including:

Number of users and mailboxes

Email attachments
-
Documents
-
Spreadsheets
-
Presentations
-
PDFs
-
Cloud files
-
Archives
-
Backups
-
Other stored data
Server storage can be expanded when additional capacity is required.
If the Customer's allocated storage approaches capacity, additional storage can normally be added without rebuilding the email environment or recreating existing email accounts.
Customers can therefore begin with an appropriate storage allocation and expand the environment as their organization grows.
Additional storage or increased server resources may result in an adjustment to the monthly hosting fee.
10. Server Resources
In addition to storage, increased usage may require additional:

Memory (RAM)

Processing capacity (CPU)

Bandwidth
-
Backup capacity
-
Security resources
-
Storage performance
-
Other cloud infrastructure resources
iTech may recommend or require an infrastructure upgrade where necessary to maintain security, reliability, performance, or capacity.
Any resulting infrastructure cost adjustments will be communicated to the Customer where reasonably possible.
11. No Per-User iTech Email Licensing Fee
Unless otherwise stated in the Customer's agreement, iTech does not charge a separate iTech email license fee for each mailbox or user created within the licensed environment.
Customers may create users according to their business requirements, subject to available server resources, storage capacity, security controls, acceptable use, and technical limitations.
As the number of users increases, additional server resources may be required.
12. Customer Administration Responsibilities
The Customer is responsible for normal day-to-day administration of its organization and users unless a separate managed administration agreement has been purchased.
Responsibilities may include:

Employee onboarding and offboarding

Email aliases and forwarding

Adding authorized domains

Internal user support

Managing user permissions

Managing organization policies

Domain registration and renewals

Providing required DNS access

Customer support where services are being resold
iTech's infrastructure support does not automatically include unlimited end-user administration.
13. 24/7 Technical Infrastructure Support
iTech provides 24/7 technical support for qualifying email server and infrastructure-related issues for active services.
This may include:

Email server availability
-
Server-level email problems
-
Infrastructure failures
-
Service interruptions
-
Server resource problems
-
System-level configuration issues
-
Infrastructure security incidents
24/7 support availability does not guarantee immediate resolution of every technical issue.
Resolution times may depend on the nature of the issue, infrastructure providers, DNS providers, domain registrars, software dependencies, security investigations, or circumstances outside iTech's reasonable control.
14. Reseller & Professional Email Provider Services
Customers purchasing the Unlimited Domains & Reseller Plan may use their environment to establish their own professional business email and cloud service.
This allows eligible Customers to create their own commercial packages and potentially generate recurring revenue by providing services to their own customers.
Services offered by the Customer may include:

The Customer determines its own retail prices, packages, billing arrangements, and customer relationships.
iTech does not guarantee any level of revenue, profitability, customer acquisition, or commercial success from reselling the service.
15. Reseller Responsibilities
Customers operating as professional email providers or resellers are responsible for their own customers.
Responsibilities include:

Customer billing

Customer onboarding

Customer verification
-
Customer support
-
Password resets
-
Domain authorization
-
Account management
-
Abuse complaints
-
Privacy obligations
-
Applicable taxes
-
Refunds
-
Terms provided to customers

Compliance with applicable laws
Resellers must ensure their customers comply with iTech's acceptable-use requirements.
16. Acceptable Use
The service must not be used for:

Spam
-
Unsolicited bulk email
-
Purchased or harvested mailing lists
-
Phishing
-
Fraud
-
Malware distribution
-
Credential theft
-
Unauthorized impersonation
-
Illegal activity
-
Malicious files
-
Unauthorized system access
-
Activities intended to damage email, domain, or IP reputation
Bulk marketing email may require separate infrastructure or an approved third-party delivery service.
iTech may restrict or suspend sending activity that threatens system security, email reputation, deliverability, or infrastructure stability.
17. Email Deliverability
iTech configures appropriate email authentication and deliverability technologies where applicable, which may include SPF, DKIM, DMARC, DNS, reverse DNS, spam protection, and related technologies.
However, iTech cannot guarantee that every email will be delivered to a recipient's inbox.
Recipient providers, spam filters, corporate security systems, reputation services, and other third parties independently determine how incoming messages are processed.
Customer sending behaviour may affect domain and server reputation.
18. Security
Customers are responsible for protecting their administrative credentials, passwords, devices, and accounts.
iTech may implement security controls including authentication requirements, spam filtering, malware protection, access restrictions, rate limits, monitoring, and other measures reasonably necessary to protect the service.
Suspected unauthorized access or compromised accounts should be reported to iTech immediately.
19. Backups
Backup availability and retention depend on the selected server configuration and service package.
Customers should not assume deleted emails, documents, accounts, or files can always be recovered unless a specific backup and retention service has been included.
Additional backup storage and extended retention may require additional fees.
20. Domains
Customers must own, control, or have authorization to use every domain added to their environment.
iTech may request proof of domain ownership or authorization.
Domains may be restricted or removed where reasonably necessary because of fraud, phishing, spam, impersonation, infringement, security threats, illegal activity, or abuse.
Domain registration and renewal charges are separate unless expressly included.
21. Third-Party & Open-Source Technologies
The service may rely on third-party and open-source software components.
Those technologies remain subject to their respective licenses, terms, development cycles, security updates, and technical limitations.
iTech may modify or replace individual components where reasonably necessary to maintain the service.
Purchase of an iTech service does not transfer ownership of third-party or open-source software to the Customer.
22. Data Migration
Migration from an existing email or cloud provider may be available as an additional service or may be included where expressly identified in the Customer's quotation.
Migration requirements vary according to mailbox size, number of users, source provider, protocols, security controls, available exports, and source data.
iTech cannot guarantee that every item from a third-party service can be successfully migrated.
23. Fees & Infrastructure Changes
Recurring hosting and infrastructure fees must remain current for continued operation of the service.
Hosting costs may be adjusted when:

Storage requirements increase
-
Server resources increase
-
Backup requirements increase
-
Infrastructure provider pricing changes
-
Additional services are requested
-
Customer usage materially changes
Where reasonably possible, iTech will inform the Customer of material recurring cost changes.
24. Setup Fees & Refunds
Implementation, configuration, deployment, licensing, migration, and customization involve technical work and allocation of resources.
Once implementation work has commenced, applicable setup and implementation charges may be non-refundable to the extent permitted by law and the Customer's applicable agreement.
Specific cancellation and refund conditions stated in a quotation, invoice, order, or service agreement will also apply.
25. Suspension
iTech may restrict or suspend a service when reasonably necessary because of:

Non-payment

Spam
-
Abuse
-
Security threats
-
Compromised accounts
-
Illegal activity
-
Excessive resource usage
-
Infrastructure emergencies
-
Violations of this Policy
-
Legal or regulatory requirements
Immediate action may be taken where necessary to protect infrastructure, security, data, deliverability, or third parties.
26. Service Availability
iTech aims to maintain reliable service but does not guarantee uninterrupted availability.
Temporary interruptions may occur due to maintenance, software updates, security patches, infrastructure outages, DNS issues, Internet routing, third-party software, cybersecurity events, or circumstances outside iTech's reasonable control.
27. Cancellation & Data
Customers discontinuing the service are responsible for arranging the export or migration of required email, documents, files, and other data before termination.
After termination, Customer data may be deleted according to applicable retention practices and infrastructure requirements.
iTech does not guarantee indefinite storage of Customer data following cancellation or termination.
28. Policy Changes
iTech may update this Policy to reflect changes in technology, infrastructure, security, services, pricing structures, legal requirements, or business operations.
The current version will be published on the iTech website with an updated revision date.
29. Software Ownership, Open-Source Components & License Rights
The iTech Email & Cloud solution is built using a combination of open-source software, third-party technologies, iTech-developed components, integrations, configurations, customizations, automation, and cloud infrastructure.
iTech does not claim ownership of third-party or open-source software incorporated into the service. Such components remain owned by their respective developers, copyright holders, or communities and are subject to their applicable open-source or third-party licenses.
iTech's role is to deploy, integrate, configure, customize, secure, scale, maintain, and provide these technologies as part of a managed business email and cloud service.
You Are Purchasing a Service and License — Not the Complete Source Code
Payment of setup, implementation, licensing, customization, hosting, or other service fees does not constitute the purchase or transfer of ownership of the complete software platform or its source code.
Unless expressly agreed otherwise in a separate written agreement, the Customer is purchasing the right to use the configured iTech Email & Cloud service according to the selected plan.
The Customer does not acquire ownership of:

The complete system source code

iTech proprietary code or modules
-
iTech integrations or automation
-
iTech deployment methods
-
Server architecture or configuration methods
-
Proprietary scripts or management tools
-
Internal documentation or development processes
-
iTech intellectual property
-
Third-party intellectual property
Any open-source components remain available to the Customer according to the rights granted under their respective open-source licenses. Nothing in this Policy is intended to restrict rights that an applicable open-source license legally grants to the Customer.

The fees charged by iTech compensate iTech for services and technology provided around the platform, which may include:

These services and customizations add functionality and operational value to the underlying technologies but do not change the ownership or licensing terms of third-party or open-source components.
No Transfer of Intellectual Property
Unless specifically stated in a separate written agreement signed by iTech, no payment made under an iTech Email & Cloud service plan transfers iTech intellectual property, proprietary source code, development tools, internal systems, or ownership rights to the Customer.
The Customer receives the service and usage rights associated with the purchased plan, not ownership of the entire technology stack.
Open-Source License Rights
Nothing in this Policy overrides, removes, or limits any rights granted to the Customer directly under an applicable open-source software license.
Where an open-source license requires access to corresponding source code, notices, attribution, license information, or other materials, iTech will comply with the applicable license requirements.
Third-party and open-source components remain governed by their respective licenses, while iTech-developed proprietary components, configurations, integrations, and services remain subject to iTech's applicable licensing terms.
